Export issues

With Exporter, you can perform exports from different places, but the process is always the same since the tool is an all-in-one screen modal.

Export issues from Exporter home

You can access Exporter Home by opening Apps in the Jira menu and clicking on Exporter - Export issues.

The home view provides two quick export options:

  • From filter: Filter export provide users to export issues and columns from their saved filters.

  • Custom: Direct access to an export in the issue view.

Export issues from Search issues

Once you have selected the results of the filters in the Jira Issue Navigator, open Apps and click on Export or schedule to open the Exporter modal.

 

Export process

The entire export process is carried out in a modal that contains all the necessary options. The modal consists of the following steps:

1. Choose the format

Excel:

With Excel format you can get flexible data analysis, customized reports, data sharing, and record-keeping outside the platform. See more details here

CSV:

With CSV format you will be able to export your issues and import them into another Jira instance. You can choose the delimiter, select between Comma, Semicolon, Vertical bar or Caret. See more details here

 

2. Add extra content

With Exporter, you can select the extra content that you want:

  • All issue fields: You will see the total amount to be exported.

  • Comments: Export the issue comments. You will see the comment's date, author, and message. Also, you will have the security of the comment Public or Internal and the name of the group or role. If you work with Jira Service Management you can customize your comments excluding internal comments by checking No internal comments option.
    For every comment you can see:

    • Date

    • Author

    • Security (Public or Internal)

    • Text

  • Transitions: Export the workflow trace that each issue follows. For example: perhaps an issue has started in To Do, then it was moved to Doing and it has ended in Done. This is only available for Excel.

    • Initial status date: The date on which the initial status is established.

    • Time in initial status (sec): Time in the initial status before the transition in seconds.

    • Initial status: Initial status of the transition.

    • Final status: Final status of the transition.

    • Transition date: When the transition is done

    • Transition user: The user who did the transition

    • Times: How many times the same transition has been done?

    • Time in final status (sec): Time in the final status before the transition in seconds.

  • By checking Transition and its approvals, you can also include approvals for each transition with approvals, in this case, this information will be exported:

    • Approval outcome: Approved or Declined ( If it is empty, no approval was required or the necessary approvals have not been executed)

    • Outcome date: Date of the last approval

    • Approver: List of approving users

    • Approver decision: List of decisions for each approver ( If empty, the user has not participated in the approval.)

3. Choose the type

You can choose to export immediately or schedule it.

Immediate export (Export now):

This option will be selected by default.

 

Schedule export:

This will allow you to schedule regular issue list exports for when you need them the most.

You can choose from several options to configure your export:

  • List of recipients: Add as many recipients as you want to your export. By default, the creator will be included in the list.

  • Frecuency:

    • Weekly: Choose the days of the week you want the export to be sent. Select as many as you like.

    • Monthly: Choose the days of the month you want to send the export. Select as many as you like.

    • Advanced: Create a Cron expression that allows you to automate exports at specific intervals, such as quarterly, annual, or at any custom frequency, ensuring data is exported without manual intervention.

  • Time zone: Select the exact time you want your export to be sent.

 

Extra info:

Origin of the issues: the first section you will see then the modal open named Issues from, shows the information about the issues you’re exporting. It an be custom if it comes from a custom search, or in case your export comes from a filter, you will see its name.

Customize the name of your file: in both immediate and scheduled exports you can name your file.

The time will depend on your time zone settings and your privacy. When launching an immediate export, if the user does not indicate a file name, Exporter will generate a file name with the date and time of the style yyyy-MM-dd_HH-mm. This time will adjust to the user's time zone as long as the user has their privacy settings set to "Anyone" for their "Local time", if that’s not possible it’ll get the timezone of the Jira Cloud instance.


Export progress

Check the final button to generate the export. If the export is immediate the process is pretty fast, but if you are going to export a lot of issues (more than 10,000), it may take a bit longer. But don’t worry, while you prepare a coffee your export file will be ready, be patient, and you will see a few screens that shows you the export progress.

 

You will see the export process divided in two screens. In the second one you will see the percentage of the adding issues to the file progress.

You also have the option to receive a notification via email when the download is ready. The file will be available for 24 hours.

 

If your export file is too large, you will receive in the email a link to download a zip file to unzip, both for immediate and scheduled exports.

 

Send the export by email

During the process of an exportation you will always have the option to choose to receive the export by email. Click on the button and the export process will stop.

 

Download the export file

Immediate export: When the export process is complete, the download will automatically starts in your browser (unless you have this option blocked), and you can also download it manually by clicking on Download file button.

 

  • Scheduled export: After scheduling the export, all recipients will receive an email with the download link once the file has been generated. This download link will take you to a screen in Jira where you can download the file.

Email notification

Immediate export: If you have chosen to stop the export process and send it to your email, you will receive a download link once the export is ready.

Scheduled export: After scheduling the export, all recipients will receive an email with the download link once the file has been generated.

 

By clicking on the link included in the email, you'll be taken to Exporter's page so you can download the export.
